Frequently Asked Questions
Answers to the questions we hear most from BCBAs, therapists, educators, parents, and caregivers about The Conduct Management System (TCMS). Can’t find what you’re looking for? Reach out to us at support@tcms.systems.
General
What is TCMS?
TCMS – The Conduct Management System – is a mobile clinical data management platform for Applied Behavior Analysis (ABA) and related behavioral services. It helps clinicians and authorized stakeholders collect behavioral data in real time, consolidate observations from multiple environments, and generate correlative reports that support clinical decision-making.
Who is TCMS designed for?
TCMS is built for Board Certified Behavior Analysts (BCBAs), clinical leads, therapists, behavior technicians, special educators, and the parents, guardians, and caregivers who support a client across home, school, and community settings.
Which devices and platforms does TCMS support?
The TCMS mobile app is available for iOS and Android devices. You can download it from the Apple App Store or Google Play.
Is TCMS available in languages other than English?
Yes. TCMS is available in English and Spanish so clinicians, technicians, parents, caregivers, and educators can participate in a shared data-collection process in the language they are most comfortable with.
Data Collection & Reporting
What types of data can I collect with TCMS?
TCMS supports event (frequency) recording, latency, and interval data, along with structured tracking categories so you can capture what happened, when, where, and under which conditions. All data collection methods are included in every plan.
Can I collect data without an internet connection?
Yes. TCMS supports offline data collection. You can continue recording observations without connectivity, and your data automatically syncs to your account once you’re back online.
What kind of reports does TCMS generate?
Beyond totals and simple graphs, TCMS offers advanced correlative reporting. Clinicians can compare behavioral variables, compare timeframes, examine patterns across context and time, evaluate recorded intervention outcomes, and drill into the underlying data behind each report.
Can I see which stakeholder recorded a specific observation?
Yes. You can filter by stakeholder, client, and timeframe to review who observed what. This supports fidelity checks against treatment objectives, supervision, case review, and audit-ready documentation.
Does TCMS make clinical decisions or recommendations?
No. TCMS is an administrative logging and analytical reporting tool. It does not diagnose, treat, or recommend clinical programs. All therapeutic and treatment decisions remain with the qualified, licensed professional reviewing the data.
Accounts & Collaboration
How do parents and caregivers join a client’s profile?
The primary clinical lead (e.g., the BCBA) creates the client profile and securely invites parents, guardians, caregivers, and other authorized stakeholders. Stakeholders can then log data during their assigned observation windows and view the reports they are permitted to see.
What is the difference between a client and a stakeholder?
A client is the individual whose behavior is being tracked. A stakeholder is any authorized person who observes and records data for that client, such as a parent, caregiver, teacher, or behavior technician. Each plan includes a set number of active clients and active stakeholders.
Why do I receive an SMS code when logging in?
To protect sensitive client information, TCMS uses one-time passcodes (OTPs) sent by SMS for registration, multi-factor authentication, and password resets. Message and data rates may apply. Phone numbers used for verification are never shared with third parties for marketing purposes.
Pricing & Billing
Is there a free trial?
Yes. New users can start a 14-day free trial by downloading the app and creating an account. You get full access to all data collection methods and reporting features during the trial.

Where do I subscribe or manage my plan?
Subscriptions are purchased and managed inside the TCMS mobile app through the Apple App Store or Google Play. You can upgrade, downgrade, or cancel through your app store subscription settings.
Is my data retained if I change plans?
Yes. All plans include unlimited data retention, so your historical observations and reports remain available when you move between tiers.
Privacy & Security
Is TCMS HIPAA and FERPA compliant?
TCMS is designed for therapeutic environments where Protected Health Information (PHI) and student records may be entered, and client data is handled securely in accordance with our Privacy Policy. As the Covered Entity or Data Controller, you (or your organization) are responsible for determining regulatory compliance for your use case. Where TCMS acts as a Business Associate under HIPAA, a separate Business Associate Agreement (BAA) must be executed – contact support@tcms.systems to request one.
Who owns the data entered into TCMS?
You and your organization retain ownership of the clinical data you enter. TCMS retains ownership of the platform, software, and reporting configurations. See our Terms & Conditions and End User License Agreement for full details.
Do I need consent before tracking a client’s behavior?
Yes. You must have the appropriate authorization, consent, and lawful basis from the client or their legal guardian before entering behavioral observations or personal identifiers into TCMS.
